Terms of service.

PAYMENT TERMS & BOOKING

a) All orders must be paid in full upfront 14 days before the picnic. Once an order has been placed you will receive an invoice for the full amount.

b) To secure your booking a 20% deposit is to be made when booking.

c)The booking will not be considered ‘Confirmed’ until the deposit has been received

d) Changes to a booking can be made 7 days or more prior to the booking date. This may include:
i. Change in time
ii. Change the menu or location

e) Final numbers are to be provided with a minimum of 14 days prior to the booking date

f) If any additional last-minute items are added, or guest numbers increase after final payment, the difference must be paid in full before the day of the event

g) If covid-19 returns and we are in another lockdown or you cannot make the booking due to being in lockdown we will save your deposit and you can reschedule the event. Depending on other covid-19 related matters, will depend on whether a full refund will be given. This will be discussed between My Secret Picnic Director and Customer to work out what will be best suited. If food has been made there could be a cost-related.

GIFT VOUCHERS

a) Cannot be redeemed for cash

b) The voucher is valid one year after purchase

c) A single transaction only

d) The Voucher is non-refundable

CANCELLATION POLICY/WEATHER

a) For a cancellation notified – 100% of the deposit is non-refundable. Due to the high demand and the timeframe in which we book out, orders are not able to be refunded if cancelled or downsized.

b) For a cancellation notified within 6 weeks of the booking date – 100% of deposit is non refundable. Due to the high demand and the timeframe in which we book out, orders are not able to be refunded if cancelled or downsized within 2 weeks of your event.

c). For a move of the booking date within 1 week of the booking – the booking amount is forfeited unless otherwise discussed.

d) If it is raining/windy on the day of the picnic, no refund with be given if there is no alternative. Happy to move inside at your home at no cost.

e) MSP does not have an alternative for a picnic if it is raining, windy or above 36 degrees unless arranged prior. If there is no alternative on the day of the picnic no refund will be given.

CLIENT RESPONSIBILITIES

a) To provide all known dietary requirements.

b) To advise of food allergies. Whilst food allergy is the responsibility of the individual with food allergy and My Secret Picnic (MSP) will not be held responsible for an individuals incorrect food choice, we support all guests in making the right choices for their health by way of proper food handling, the purchasing of specific allergen-free ingredients and specific & detailed menu signage if requested.

c) To provide or advise regarding nearby parking or drop off/pick up

d) To provide an up to date address, contact details and time.

e) When catering in an outdoor public area that is subject to permits, it is the responsibility of the Client to organise any necessary permits and to provide a copy to MSP

HIRE EQUIPMENT

a) Baskets, wine glasses, plates, cutlery, and rugs are all equipment available as part of our picnic package.. However, MSP can ask for credit card detail for security (if requested)

b) If there is any damage we have the right to change the amount to your credit card.

c) Once items have been returned in good order, all credit card details on our system will be destroyed.

DELIVERY, PICK UP & TRAVEL

a). You are allocated 2 hours for each picnic package (Hamper excluded). There will be charges if you are late unless prior arrangement is made. It is $30 extra per hour.

b). Free delivery Wanaka, outside these areas there will be an additional charge.
i. Delivery Fees (based on distance, each way)
ii. Additional Staff Fees (based on travel time, each way and total time at venue site)
iii. Accommodation Fees, if applicable.

Wanaka no travel charges

Hawea, Glendhu Bay $40

Queenstown, Jacks Point, Cromwell and Arrowtown delivery fee is $150
